Institutional Grievance Redressal Mechanism

1. Receipt of Complaint

Citizens can directly submit a complaint to the concerned official regarding issues related to services provided by the institution. The complaint may be submitted in writing or online, in accordance with the institution's existing system.

2. Registration of Complaint

The received complaint is recorded in the institution's grievance register or the relevant digital system. Necessary documents and information regarding the complaint are collected.

3. Preliminary Examination

The concerned official examines the subject matter and facts of the complaint. If necessary, additional information is gathered from the complainant and the concerned staff members.

4. Intervention by the Head of the Institution

If the complaint is of a serious nature or falls outside the jurisdiction of the concerned official, the Head of the Institution examines the matter and takes appropriate action.

Examples include:

Delays in service delivery

Complaints regarding staff behavior

Issues related to the issuance of documents or certificates

Complaints concerning institutional infrastructure

Issues related to fees or other service procedures

5. Investigation

Depending on the nature of the complaint, measures such as examining documents, seeking explanations from the concerned individuals, and conducting necessary site inspections may be undertaken. 6. Remedial Measures

If the complaint is found to be valid:

Provide the necessary service,

Rectify the error,

Avoid delays,

Restore lost documents,

Seek an explanation from the official responsible,

...and take other appropriate actions.

7. Informing the Complainant

Informing the complainant about the action taken and the redressal provided is a key component of an effective grievance redressal system.

8. Escalation of Complaint

If the grievance is not resolved at the institutional level, the complainant may approach the relevant authorities at the Block, District, or Departmental levels, depending on the nature of the complaint. Other legal avenues for redressal may also be available.
